Outlook – Email Options • Love it or hate it, it is here to stay • Some modifications I always make • Tools; Options; Email Options • Close original message on reply or forward • Advanced Options • Show an envelope icon in the notification area
Customise Quick Access Barfor all MS products • Right Click; Add to Quick Access Bar • Print Preview • Align Objects • Format Painter • Picture Border • Crop
Outlook – Calendar Options • Add a second time zone • UK or US • Calendar Options; Add Time Zone
Outlook – Print to One Note • Office Button • Print • Choose Send to Office OneNote 2007 • Creates a portable electronic file of your emails. • File; Save As • Share Screen to demonstrate
Outlook - Signatures • You can have multiple signatures, for example • KS LTU • KS Wiki
Outlook Signatures can save time • Have you considered editing your signature to include commonly used standard information. • Here is my Adobe Connect signature • Signatures are set up under Tools; Options; Mail Format; Signatures
Outlook and Word – Quick Parts • This is by far the best way to cope with standard text comments. • Highlight your text; • Alt+F3 • Name it • To use it, type in the name and press F3 • Share Screen to demonstrate
Outlook – Organize Colors • I like my unread messages to stand out – in hot pink • Tools; Organize; Using Colors; Automatic Formatting; change the font colour for unread messages • I like message from: • Louise Turnbull’s in blue • Beth Hobbs in green
Outlook - Categories • A great way to group your information together • Right click under Categories column, apply a category • Click on Categories to sort
Outlook – Data File Management • Remove attachments, save the message • Create Outlook File • Check Properties
PowerPoint - Slideshow • Start slideshow – F5 • Start slideshow on current slide – Shift+F5 • To turn existing slide slide Black – B • To turn existing slide White – W • These are toggles, press B or W to resume slideshow
PowerPoint – Slide Master • To change overall fonts style • View; Slide Master • Change the font attributes • Close Slide Master • Share Screen to demonstrate • Separate Screen for Title Slide, etc
Position Objects • Align objects • Distribute Horizontally/Vertically on Screen • The red row is sitting on the screen as placed • The bluerow have been aligned to the top and distributed horizontally
How to Nudge an object • Select the object and you can move using the mouse, or the directional arrows on your keyboard. • However, to “nudge” it slightly, hold down the Alt key and move with the mouse • Ctrl + arrow – tiny nudges • Share Screen to demonstrate
Microsoft Word • Keyboard Shortcuts – this will definitely improve your productivity • Ctrl A – selects all • Ctrl C – copies • Ctrl V – pastes • Ctrl X – cuts • Windows + D • Windows + E • A comprehensive list is on the Techtime wiki

Automatic Table of Contents - Word • Create document with heading styles applied • Reference; Table of contents; Automatic Table 1 • Your document now has the TOC with automatic hyperlinks to the various pages • Document is available on Techtime wiki
