  1. Administrative Guidelines to obtain your Doctorate in Medicine

  2. You MUST enter all your Electives, Selectives and Mandatory Rotations on the Clinical Web Site. This is my essential tool to keep track … • This information needs to be entered before you start your placement. • Remember: All evaluations must be received by the Medical Education Office in order to obtain your M.D. !!!!

  3. All your electives and selectives must have an evaluation form completed by your supervisor. • You must PASS all of them in order to obtain your MD degree: • All the evaluation forms are available on the Elective Web Site: http://intermed.med.uottawa.ca/electives/eng/app_procedures.html ( Keep in mind that we might use ONE 45) • Also, the forms will be sent to you by e-mail in August 2007.

  4. Also, you need to complete an elective Evaluation by clinical clerk for all your electives done in Ottawa or in a Rural Setting. (Keep in mind that we might use ONE 45). For now the form will be sent to you in August by e-mail. • Once the evaluation completed, it must be sent to the Medical Education Office. (detail on the bottom of the evaluation)

  5. To choose your group you will be able to access the Web from: Monday January 29th 2007 9:00 a.m. to Thursday February 1st 2007 9:00 p.m. The link to use is: http://www.medecine.uottawa.ca/webclinicoption

  6. http://www.medecine.uottawa.ca/webclinicoption • You will receive an e-mail with your access information (username and password) • You will be choosing in which group you wish to be in. Group 1 to Group 7 (you will enter 5 choices) There will be a maximum of 20 students per group • You will choose the subspecialty for your Mandatory Rotations in Internal Medicine and Surgery at a later time. • You will be notify by e-mail when it’s time to do the subspecialty selections. Same process will apply and you will use the same username and password.

  7. As soon as all the groups are completed, I will send you the results by e-mail. • Those groups will be final. (Unless you switch with a colleague). You will have a maximum of one week to make those changes. • You must notify your Liaison Officer of the change.

  8. It’s very important to read all the e-mails your Liaison Officer sends you. • Your Liaison Officer will send you e-mails for the various deadlines to respect (LMCC registrations, CaRMS etc…) • The Medical Education Office will only use your uottawa.ca e-mail account at all time.

  9. Important Contacts: • Guylaine Renaud, Liaison Officer Year 4 (613) 562-5800 ext. 8427 grenaud@uottawa.ca • Julie Clavelle, Elective Coordinator (613) 562-5800 ext. 8552 elective@uottawa.ca • Linda Johnston, Hospital Coordinator for Internal Medicine (613) 798-5555 ext. 18723 lajohnston@ottawahospital.on.ca • Joane van Bergen, Hospital Coordinator for Surgery (613) 737-8899 ext. 74037 jvanbergen@ottawahospital.on.ca • University of Ottawa Toll Free number 1-877- UOTTAWA (868-8292)

  10. Frequently Asked Questions: 1. Is the matching system for the groups the same as 3rd Year? The matching system is done randomly and the first choice satisfaction is a priority. You will be selecting 5 choices.

  11. 2. Who signs the elective paperwork if they ask Dean’s signatures? Anybody at the Medical Education Office (Room 2046) can sign your elective application form. Since it’s concerning your 4th year, Rachelle Lubin, Julie Clavelle or Guylaine Renaud should be doing it but if we are all absent, anyone could do it.

  12. 3. If my Clinical Placement link doesn’t work, who do we ask? If your Clinical Placement link doesn’t work, you just have to send an e-mail to either Julie Clavelle (elective@uottawa.ca) or Guylaine Renaud (grenaud@uottawa.ca) and we will resend you your link. If this doesn’t work, we will contact MedTech to fix the problem.

  13. 4. What’s the difference between an elective and a selective? An elective is done in any type of field you wish and can be done outside Canada. We recommend that you do your first 10 weeks according to your Residency Stategies… A selective must be done in Canada in an outpatient setting. Internal Medicine and Surgery Selectives can be done anywhere in Canada even at the Ottawa Mainstream Hospital (if they can accommodate you) Other placement must be done outside the Ottawa Mainstream hospital setting . Don’t hesitate to contact your Liaison Officer for more details…

  14. 5. Is the Anatomy Course mandatory if I’m in a group where it’s offered? No. The anatomy course is not mandatory. If you wish to take it, you must register with Guylaine Renaud. Possible dates to be confirmed at a later time : Jan. 8 to Jan. 12 2008 : English Course Feb. 19 to Feb. 23 2008: French Course March 26 to March 30 2008: English Course

  15. 6. If I choose to take the Anatomy Course, can I do a clinical placement at the same time? It is not recommended that you do another placement during your Anatomy Course. You will need to study every night!!! You must pass the exam on the Friday in order for this to count as one week in your 4th year.

  16. Enjoy you 4th Year!!
