  2. Purpose • To promote school spirit and involvement among first-year students • To allow upper class students an opportunity to interact positively with our first-year students • To accomplish move-in more efficiently and effectively

  3. Purpose • To assist in welcoming new students and their families to the Truman community • To provide assistance in unloading vehicles and transporting items to student rooms

  7. Roaming Coordinators • Professional staff person from Student Affairs who oversees an area of the move-in process. Example: Missouri and BNB would be an area. • Handles any questions and concerns given to them by the Volunteer Coordinators, and Guideposts. • Due to the high profile of the Guideposts, one Roaming Coordinator will be assigned to monitor this area specifically.

Guideposts (FACT members) • Provides first impression that parents receive entering Truman State University on move-in day. • Positioned at one of five locations surrounding the campus. • Have a list of incoming first-year students who are non-compliant with immunization requirements. • Students who have not complied will be asked to go to the Student Health Center to sign a waiver. • Temporary Parking for the Immunization Compliance is the Magruder Hall or Pickler Library Lots.

  10. Guideposts • If student is compliant, Guideposts will provide that student’s vehicles with a parking pass • Health Services staff will distribute passes to the students upon completion of the immunization waiver. • This position will work in pairs and receive a two-way radio. • The Guidepost positions will be the FACT Leaders and will be reporting to Rachelle Williams and Colleen Pace

Parking Coordinators (RHA Leaders) • Check for parking pass from Guidepost or Student Health Center • If the student is not on list and is compliant, direct them to temporary parking. • Provide parking pass (write down entry time, hall and room number) • If student doesn’t have a pass and is on the non-compliance list, place them in temporary parking and redirect student to Student Health Center.

Volunteer Coordinator • Leader who oversees the crews that are helping to move parents and students into the residence halls. • Ensure high quality customer service during move-in process. • Answer volunteer’s questions and provide help. • Helps handle conduct matters with the crews. • Delegate crews as necessary. • Help organize breaks.

  14. Volunteer Coordinator • Assists with questions from Parking Coordinators. • Monitor water stations at canopy. • Has cell to communicate with Gatekeepers and Roaming Coordinators • Mingles with the parents. • Contacts Roaming Coordinator if needed.

The Move in Process • Our Check-In/ Move-In process is one of the first on-site impressions students and their families form of Truman State University. • This is why it is so vital that this impression is one that benefits our University. • It is designed to provide high quality customer service to our students and their families.

Providing Quality Service • The move-in process is designed to be a coordinated, efficient, and effective process. • There are volunteers in each area • There are Volunteer Coordinators (Greek Leaders) stationed outside every hall to ensure constant communication if necessary and available to help with any situation • All will report to Roaming Coordinators who are all Professional Student Affairs staff

  18. Safety First! • Be smart! Follow the directions of your Volunteer Coordinator • Watch out for moving cars! Don’t get hit • Drink water! Stay hydrated

  19. Safety First! • Know your limits! Don’t lift more than you can handle • Protect your liability! Let students and their families carry expensive items • Be efficient! But know when you need a break • Read the safety and lifting guidelines handout

  20. Proper Lifting Techniques • Squat to lift and lower. Do not bend at waist. • Keep your lower back bowed in while bending over. • Keep your weight as close you as possible. • Bow your back in and raise up with your head first. • If you must turn, turn with your feet, not your body. • Never jerk or twist.

Proper Lifting Techniques • Put the weight down by keeping your back bowed in. • Keep your feet apart, staggered if possible. • Wear shoes with non-slip soles. • Adjust the height of an item to be lifted when possible. • Lifting which occurs below the knee or above shoulder height is more strenuous than lifting between those limits.

Dos and Don’ts • Do wear appropriate apparel • We want you to be safe and comfortable • Greeks wear Go-Greek t-shirts for move-in • Religious organizations wear organizational t-shirt • Other organizations may wear an organizational t-shirt • You may respond to questions about the organization you are representing • Wear your nametag • DON’T solicit contributions, promote or sell products while assisting with move-in

Dos and Don’ts • DO talk about Truman Week events and invite new students to attend • Don’t promote or advocate membership in any campus organization • You can respond to questions, but we don’t want first-year students or their families to feel any pressure regarding involvement in any specific group • Do be pleasant, friendly, and helpful as you provide assistance

Dos and Don’ts • DON’T overextend yourself • You may want to impress others with your massive muscles, but save those displays for a more appropriate time • Practice all of the safety guidelines to avoid injury. • DO drink plenty of water that we have provided for you and take appropriate precautions in the heat. • DO provide assistance to those who need it, regardless of gender or perceived attractiveness.

Dos and Don’ts • DON’T go into a vehicle or room unattended by a member of the new student’s party • You don’t want to be falsely accused of theft or damage to belongings. • DO park your car on move-in day in the lots furthest away from the halls (Barnett, Campbell, lot across from Grim-Smith, Stadium, or off-campus). • You don’t want to have to carry boxes clear across campus because the best unloading locations are filled with cars owned by upperclassmen. • On-campus residents are required to move their cars to these lots before 6 p.m. on Friday.

  26. Dos and Don’ts • DON’T volunteer to move very fragile or expensive items. • You do not want to be put in a position of being asked to pay for damages.

Curbside Move-In Dobson/Centennial/Grim • The curbside check-in/move-in process is one component of this service. • After completing the meningitis compliance check with the Guideposts, the Parking Coordinators would meet the student and family at the entrance to the lot. • Parking Coordinators greet them warmly and welcome them to Truman while also checking for the parking pass from the Guideposts. • Parking Coordinators direct them to curbside move-in. • Curbside move-in is the process where a car pulls up and a crew will help the owners of the car to remove all of the belongings and help them to take the belongings to the appropriate room.

Curbside Move-In • The owner of the car would then remove the car and take it to permanent parking. • A shuttle would be waiting at permanent parking to bring the parent back. • Shuttles would run all day and can be accessed through 785-5253. • Theoretically this should cut the time of move-in down by two thirds for each individual had the family done the process on their own.

  29. Curbside Unloading/Check-in(Dobson/Centennial/Grim) • Car pulls up for curbside move-in and assigned volunteers will show family where to park. • Volunteers will unload car while student acquires their key. • One person from the family must stay with materials at all times.

  30. Curbside Unloading/Check-in (Dobson/Centennial/Grim) • After car is unloaded we ask the family to drive the car to permanent parking. • Additional volunteers will begin loading materials from curbside to designated room. • Next car pulls up. • Volunteers alternate roles every 4-5 cars.

Temporary Parking Move-In • After completing the meningitis compliance check with the Guideposts, the Parking Lot Coordinators would meet the student and family at the entrance to the lot. • Parking coordinators greet them warmly and welcome them to Truman while checking for a parking pass from the Guideposts. • Parking coordinators fill out the temporary parking pass with student’s hall, room number, and time of entry and asked them to place it on the dashboard of each vehicle. • Parking coordinators direct them to temporary parking. • The student gets a key at check-in.

  33. Temporary Parking Move-In • Once the student has the key, the volunteer crew assists the family in moving the belongings from the car to the room. • When unloading is complete, the owner of the car would then remove the car and take it to permanent parking. • A shuttle will be available at permanent parking to bring the driver back. • Shuttles will run all day and can be accessed through 785-5253. • Theoretically, this should cut the time of move-in down by two thirds for each individual had the family done the process all on their own.

  34. Move-in Process for Temporary Parking • Car parks. • Student goes to check-in and gets key. • Volunteers go and ask if the family would like help moving in. • Volunteers would identify a point person from the family. • One person from the family must stay with materials at all times. • After car is unloaded, we ask the family to drive the car to permanent parking. • Volunteers assist next student and family

  35. Reminders • Arrival time is 7:40 a.m. at your assigned hall • Parking Lot Coordinators (RHA Leaders) • Nametags will be available for you when you arrive • Buttons “Welcome to Truman’ will be available for Volunteer Coordinators when you arrive • Don’t park in lots by the residence halls! (Park off- campus, at Barnett, Campbell, across from Grim-Smith, or Stadium Lots) • We will have doughnuts available for a light breakfast, snacks during the day, and water • Have fun and spread the Truman Bulldog spirit!!
