LifeSource – Document Control Challenge • Process is required for creating and managing key documents in the organization • Process needs to route to appropriate individuals • Different types of documents need different approval groups • Collaboration is required during document cycle • Evidence of approval is required • Auditing of who approved what documents and when • Provide central repository for approved documents

LifeSource – Document Control Approach • Leverage WSS as core infrastructure for the solution • Utilize WSS for document collaboration during process • Utilize WSS site for central repository of all approved documents • Utilize InfoPath as primary vehicle for capture of information during the process • Utilize K2.NET as the workflow tool to automate the process • Leverage existing Active Directory (AD) and Exchange environments

  21. Starting the process • User fills out InfoPath form • Form utilizes AD web service • Form captures key information about type of document • Lists documents from central WSS repository document library • Submission starts the workflow

  22. The Workflow • Designed in K2.NET • Utilizes WSS, InfoPath and .NET • Branches to support different types of user action (create, revise, obsolete, review)

  23. Document Collaboration • After form submission, the workflow creates a WSS site specifically for the document • Emails team to invite them to site • Sets permissions on site for users • Utilizes K2 task list web part to display workflow tasks for users on the site

  24. Routing for Approval • After collaboration is complete, process resumes to capture approval • InfoPath form is provided for two levels of approval, QRAD, leadership team • K2 workflow determines who to send emails to based on membership in groups

  25. Central Document Repository • Once a document is approved, the workflow pushes it out to the central document library • Metadata is set based on what is captured via the form during the process • Process is complete
