  1. DRIVE RE-DEPLOYMENT Research Administrators Council November 17, 2003

  2. DRIVE application is Going Away • Hardware (Sahara) is obsolete and the HRIS in its entirety is moving to a new, more powerful server machine (Typhoon) • Software (Uniface) is obsolete and no longer licensed by the university. It can not be moved to the new server. • Technology (client-server) is cumbersome to maintain • Enhancements were prohibitively difficult, sometimes impossible

  3. Replaced by HRIS Employee Maintenance (aka “OVER-DRIVE”) • Functionality is being integrated into the HRIS • Significant enhancements in validation capabilities & guided data entry improves user friendliness & data integrity • All HR functions now accessed via the same login • Export functions (BDI, Salary Inquiry) are being deployed as part of the new University Data Warehouse • Opportunity to familiarize users with Data Warehouse query tool & capabilities on a relatively small, well understood data set

  4. Benefits • One login for all HR entry functions • No need to install and run Uniface on the desktop • New screens will lead the user through the fields that need to be entered/updated based on the type of transaction • System will validate fields as they are entered, & will evaluate all fields together before saving to insure accuracy • All DRIVE data will be available in the data warehouse, using DRIVE security • DRIVE security will be expanded to allow both Home & Hiring department to view all appointments – matches LD security • Oracle Discoverer query tool is easy to use, web-enabled & free • Canned queries for BDI, Appointment Inquiry, Home & Campus addresses, Supervisors

  5. DRIVE Re-deployment Schedule • August – November 2003 Design & Coding Setup Environments • November – December 2003 Beta Testing Training Development Finalize Application Tune Performance • January 2004 User Training • February 2004 Go Live

  6. BDI & Appointment Exports using Oracle Discoverer • Replaces existing export functionality in DRIVE • HR data loaded nightly into the Data Warehouse • Security controlled by HRIS (DRIVE) access • Canned queries available for easy outload • BDI • Employee Appointment Inquiry • Campus Address list • Home Address list • Supervisors • Future  Ad hoc queries

  7. Confidentiality Reminder • ALL of the information in the Human Resource System is considered sensitive information • Some are extremely sensitive under federal law & CM policy • Any HR data exported from any system (the data warehouse included) should be closely guarded • Don’t save to servers which allow access to others who are not authorized to see this information. • Don’t leave printouts out in the open, on printers or desks. They should be filed in secure areas. • Don’t share any information that you may have access to with anyone else. Don’t give out employee lists to anyone. • Don’t use this information for anything other than your specific, intended purpose • In particular, you can not use this information for making decisions on hiring, promotions, etc.
