  1. Walker Library New Employee Orientation

  2. Parking permit • Parking and Transportation is located on Main Street across from Campus Police • Permits can be paid for in one lump sum or by payroll deduction • A reserved permit can be obtained from Melanie Plemons, in the administrative office, for those employees working nights

  3. ID Card • All employees must have a valid MTSU ID Card • The ID office is located in the James Union Building Room 306 • The ID card is used to enter and leave the building at the back door once entered into the security system by the service desk staff

  4. Security System • The library has cameras and video recording devices in various locations throughout the building • There are panic alarms in all the restrooms and at the public desks; if a panic button is activated the service desk staff will be notified immediately • There is a camera outside the systems office to allow the staff to know who is there before the door is opened

  5. Security System (Cont.) • The back door at the loading dock is equipped with a burglar alarm that is armed on the weekends and holidays. Only those employees with access codes should be in the building during these times. See Julie Hight in the administrative office for further instructions • Motion sensors are located on all 4 floors • The east side glass door near the mailroom is alarmed and should only be used in the event of an emergency

  6. Book Theft System • The gates at the entrance of the building have theft detection equipment installed to prevent material that has not been checked out from being removed from the building

  7. Name Tag • Melanie Plemons in the administrative office will provide you with a Walker Library name tag • Name Tags should be worn at all times during working hours Walker Library Staff Walker Library Staff

  8. Keys • Keys to office areas are distributed by Melanie Plemons, in the administrative office • A key card must be completed and signed before keys are issued

  9. Time Reporting • Classified employee time sheets are turned in on a monthly basis to Jackie Morton in the administrative office • Time sheets must be signed in ink by the employee • The employee will need to log into pipeline and record actual time worked and any leave used each day. • The timesheet should be recorded daily

Time Sheets (cont.) • Leave is reported by type Annual, Sick, Comp time Used, Leave Without Pay, Bereavement, Inclement weather, and Administrative closing • The pay period for classified staff is the 16th of the current month through the 15th of the following month, paid at the end of that month.

  11. Sick Leave • Sick leave is accrued on a monthly basis • Sick leave is accrued at 7.5 hours per mo. • Sick leave should be approved in advance when possible and reported as soon as the employee returns to work • If you are out sick it needs to be reported as sick leave even if you do not have enough leave to cover the absence. Adjustments will be made by the payroll office.

  12. Sick Leave Banks • The non-faculty and the faculty sick leave banks were set up to provide emergency sick leave for employees who have used their personal sick and annual leave. • Emergency leave includes unplanned personal illness, injury, or disability • Enrollment is held in October each year • An employee must donate 2 days of personal sick leave to become a member of the bank

  13. FMLA - Family Medical Leave • The Family Medical Leave Act provides for up to 12 weeks of leave per year to eligible employees for certain family and medical reasons. • To be eligible for FMLA you must have been employed for at least a year. • The administrative office is required to notify HRS when an employee is out sick for 3 consecutive days. • For additional information see your employee handbook or contact Julie Hight at 2521 or the benefits office at 2929.

  14. Annual Leave • Annual leave for classified staff is accrued based on the years of service • 7.5 hrs/mo < than 5 years • 11.3 hrs/mo for 5-10 yrs • 13.2 hrs/mo for 10-20 yrs • 15 hrs/mo for over 20 yrs • Use of Annual leave must be approved in advance • Faculty & Administrative Staff will accrue 15 hours per month

  15. Annual leave cont’d • Sick leave may not be used in lieu of annual leave. • If annual leave is exhausted and an employee must be out of the office leave without pay will be required and a separate form must be completed • Leave without pay should only be granted in extreme situations

  16. Lunch/Breaks • A one hour lunch break will be provided at a time established by your supervisor. • Work load permitting you may be given a 15 minute break for each half day or one 30 minute break for the whole day • Lunch hour and breaks cannot be taken at the same time nor can they be taken at the end of the day to leave early or at the beginning of the day to come in late

  17. Internal Relations Committee • Sends flowers if a staff member has a death in the immediate family • Presents baby and wedding gifts to staff • Contributes to retirement gift of staff • Dues: $15 Professional staff $10 Classified Staff

  18. Jury Duty • Civil leave will be granted when it is necessary to serve on a jury in any State or Federal Court • Civil leave will be granted when in obedience to a subpoena you appear as a witness for the Federal Government, State of Tennessee, or a political subdivision of the State • Payment for serving on jury duty is retained by the employee

  19. Military Leave • Any employee that is a member of the reserve or the Tennessee National Guard will be entitled to a leave of absence from their duties with pay for up to 15 working days per calendar year • Additional days may result from any call to active duty

  20. Maternity Leave • Maternity leave shall be granted for up to 4 months upon request. Sick leave may be used prior to the birth of the child when medically necessary and for 30 work days immediately following the birth. Additional use of sick leave must be in accordance with MTSU Policy IV:07:04

  21. Bereavement Leave • Bereavement leave will be granted due to the death of a spouse, child, step-child, parent, step-parent, foster parent, sibling, grandparent, parent-in-law, or grandchild • A maximum of 3 days bereavement leave is available • 2 additional days of sick leave my be granted

  22. Holidays • MTSU observes 13 holidays per year New Years Day Martin Luther King Day Memorial Day July 4th Labor Day Thanksgiving Day Christmas Day Currently the remaining 5 days are designated by the President and are observed the day after Thanksgiving and the 4 days after Christmas

  23. Mailboxes • Staff mailboxes are located in the corridor just inside the back door • Melanie Plemons in the administrative office will provide you with a box number and combination • The mailing address for the library is: Walker Library P.O. Box 13 Murfreesboro, TN 37132 • Please do not have personal items shipped to the library

  24. Staff Web Page • Walker library has a staff web page with a directory of employees, commonly used forms, committee information, e-news, as well as various other helpful items • The web address for the staff page is: http://www.mtsu.edu/jewlnet/ • JEWL-News is a weekly communication from the administrative office and is sent to library staff via e-mail on Mondays • Employees should check their e-mail on a daily basis for staff messages

  25. Employee E-Mail • The Information Technology Division (ITD) will set up your FSA and e-mail accounts with initially temporary passwords. • The ITD Help Desk number is 5345 should you have any questions or problems with your FSA and/or e-mail accounts.

  26. PipelineMT • PipelineMT is a university information network that provides employees with leave balances, beneficiary information, pay stub information, and various other items via the RaiderNet tab • To get a PipelineMT password contact Debbie Givens at 2249 or via e-mail at dgivens@mtsu.edu

  27. On Campus Benefits • Phillips Bookstore offers a 20% discount with valid MTSU employee ID • The Rec Center is available with valid MTSU ID card • Discount on season tickets to MTSU athletic events

  28.   29. University Benefits • Benefits will be discussed during your benefits orientation scheduled with HRS • There is an annual benefits fair in the fall to allow employees to learn more about the benefits offered and make any desired changes

  30. Longevity • All full time employees are eligible to receive longevity pay as a bonus for years of service. You will begin receiving longevity pay after completing 3 years of service as approved by the legislature. • Longevity is paid up to a maximum of 30 years • Longevity is paid on the first pay period after your anniversary date

  31. Sexual Harassment • All employees are required to complete an annual online training on sexual harassment in the workplace • Training site is www.newmedialearning.com/psh/mtsu

  32. Sensitive Data • Employees need to be aware of items that contain sensitive data and be sure to secure such information whenever possible • Time sheets and other reports containing social security numbers or banking information must be kept in a secure location including information maintained on computers
