  1. High Speed 2 – Rapid Collaborative Project Planning 11th October 2012

  2. Jon Kerbey • Head of Management Systems, HS2 • Previous employment: • Systems Architect - Major Projects, Halcrow/CH2M Hill • European Development Director, AECOM

  3. Agenda • Introduction & Background • Integrated Systems Environment • EPPM Cloud Solution • Lessons Learned (so far) • Q&A

  4. HS2 Introduction & Background

  5. What is HS2? Backbone of a new transport system Truly national network Phase 1: London to Birmingham Phase 2: Manchester, Leeds and Heathrow

  6. Scale: phase 1 • 140 miles long • Up to 14 trains an hour • Reduced journey times • Travel up to 225 mph • Will support around 40,000 jobs

  7. HS2 organisation Not fully representative

  8. Purpose: Phase 1 Progress next stage of engineering, design and environmental work Develop and consult on the Environmental Statement Deposit the hybrid Bill in Parliament by the end of 2013

  9. Goal and Strategic Objectives: Phase 1

  10. Integrated Systems Environment

  11. IM Challenges • Stakeholder interactions• Design development • Environmental mitigation • Requirements • Change Robust, flexible systems Collaborative environment • Efficiency savings • Integrated information model • Rapid response • Informed decision making Setting up for the long term

  12. Interim Environment • Hosted outside of the HS2/DfT environment • Critigen (Denver) • Bentley (Ireland) • Short term solution enabling HS2 to “hit the ground running” • ~20Tb data in 7 months

  13. Managed Service Environment Hosted in the UK Full integration between systems Single Sign On ~50Tb data anticipated by October 2013 Built for the future

  14. Integrated Systems Primavera Risk Analysis Microsoft Office Primavera P6 Client SharePoint ESRIArcGIS ProjectWise Integrated cost management Integrated change management Integratedrisk management Integrated requirements management Integrated reporting Design, production and review applications

  15. Integrated Systems UKOUG Primavera Conference 2012 15

  16. Integrated Systems • Hit the Ground Running • Accurate, Timely Reporting • Collaborative Tools • Long Term Solution for Development Phase • Simple interim systems - 100 days • Migration of historic data creates starting point • “Single source” of truth • Supports quick, effective decision making Value for money • Reduces cost and risk of rework • Enables the exchange of ideas and information in an open environment • Use best practices that are scalable to future phases • Saves cost and time in re-development UKOUG Primavera Conference 2012 16

  17. HS2 EPPM Cloud Solution

  18. John Bennett • Critigen EPPM Practice Manager • Previous employment: • Fujitsu • T-Mobile • Network Rail • Introduced ‘P3e’ to Network Rail at version 3.5 in 2003 • Helped and supported many companies since with their P6 implementations

  19. EPPM Cloud Model HS2 Requirements & Desired Outcomes System Set-Up Support Service Management Toolset Configuration Training

  20. Mobilisation HS2 Requirements & Desired Outcomes • HS2 Requirements & Desired Outcomes • Single project controls platform • Access for the HS2 team and partners System Set-Up Support Service Management Toolset Configuration Training

  21. Mobilisation HS2 Requirements & Desired Outcomes SystemSet-Up • System Set-Up • Infrastructure • Oracle Licenses via BPO (subscription) • Software • HS2 IT changes (Java versions etc) Support Service Management Toolset Configuration Training

  22. Mobilisation HS2 Requirements & Desired Outcomes System Set-Up Support • Toolset Configuration • Security • EPS / WBS / OBS • Dashboards • Reports Service Management Toolset Configuration Training

  23. Mobilisation HS2 Requirements & Desired Outcomes System Set-Up Support • Training • Dashboards • Administration • Reports Service Management Toolset Configuration Training

  24. Mobilisation HS2 Requirements & Desired Outcomes System Set-Up Support • Support • 24x7 Helpdesk • Super User extension • No HS2 support resources e.g. DBA Service Management Toolset Configuration Training

  25. Mobilisation HS2 Requirements & Desired Outcomes • Service Management • Lessons Learned • Continual Improvement • Business Engagement (users & stakeholders) • Future Requirements Identification System Set-Up Support Service Management Toolset Configuration Training

  26. Collaboration • PSC access • Support to increased user base HS2 Requirements & Desired Outcomes • 3rd party IT configuration • Firewalls System Set-Up Support Service Management • Service Management • PSC Engagement • Lessons Learned • Continual Improvement Toolset Configuration Training • Advice & Guidance • Activity Codes • Security • Access

  27. Upgrades • P6 Release 8.1 -> 8.2 • Service Packs • Routine Maintenance • Analyse technical and business support requirements • No impact with the current upgrade HS2 Requirements & Desired Outcomes • Release Management • Internal Testing & QA • Analyse Technical Impacts System Set-Up Support Service Management • Service Management • Supported Business Analysis • Stakeholder Engagement • Lessons Learned • Continual Improvement • Analyse Business Impacts • Ensure no impact to layouts, reports & dashboards Toolset Configuration • Analyse user training needs • No user changes with this release Training

  28. The Future HS2 Requirements & Desired Outcomes • Increased User Base • Integration • Tilos (Linear Planning) • Esri ArcGIS (Spatial Analysis) • Cost Management • Risk Management • Change Management • Bentley ProjectWise • BIM • Increased Collaboration across Stakeholders • Upgrades • Managed releases of Primavera P6 System Set-Up Support Service Management Toolset Configuration Training Proactively Address Future HS2 Requirements

  29. Lessons Learned (so far)...... • Diverse range of user capability • Creating working practices via a collaborative approach takes longer but receives wider adoption in the long run • Consistency has to be enforced through formal processes and procedures - anything informal is likely not to be adhered to UKOUG Primavera Conference 2012

  30. Summary • P6 is part of the HS2 Integrated System • Universal Access & Enhanced Collaboration • All working in the same environment • Access from all locations • Single Source of Truth • Consistent Dashboards & Reports reflect true progress • Standardisation & Control across the major programme

  31. Key Message HS2 are in the business of designing and building a rail network not running IT applications No need to operate data centres or setup and support applications for specialist tools like Primavera
