  1. Associated Students Inc. Budget Request Process A guide to requesting a budget for fiscal year 2014-2015.

Associated Students Incorporated (ASI) Statement of Purpose • Associated Students Incorporated is a non-profit auxiliary which exists to support the educational mission of CSU Channel Islands.  • ASI facilitates learning and development through integrative and co-curricular approaches • Identifies and responds to major student issues and initiatives • Implements sound business practices which uphold the fiduciary responsibility associated with the management of student fees • Funds the operation and facility of the CI Student Union ASI Board of Directors • The Board of Directors is comprised of nine students, three University Administrators, one University Faculty member, and one community member. • The ASI Board is responsible for the oversight and management of ASI, which includes the allocation of ASI funds.

BASC • Budget Allocation and Spending Committee (BASC) • The BASC was created as a committee of the ASI Board of Directors tasked to oversee the process of ASI budget requests. • The BASC is comprised of six ASI Board Members—four students and two non-students. • The BASC presents all budgets to the ASI Board who can either approve, amend, or deny the budget requests.

Budget Request Check List • Read and sign the ASI Budget Allocation and Spending Procedure. • Complete ASI Budget Request Form. • Complete ASI Budget Builder in Excel. • Schedule mandatory meeting with ASI Assistant Director, Christine Thompson, before Friday, February 7, 2014. • Complete Budget Request PowerPoint and present to the Budget Allocation and Spending Committee (BASC). If you would like a copy of your 2013-2014 request or current budget reports please email Christine.m.thompson@csuci.edu.

Budget Allocation and Spending Procedure Guidelines • Prior to building your budget, please read the Budget Allocation and Spending Procedure. • You can also pick up a copy at the Student Union Information Desk. You are required to turn in the BASC procedures signed acknowledgement with your budget packet.

  9. Creating a budget request using the Budget Builder in Excel • Step 1: Fill in your area’s Fund and Department Number. If you do not know this information follow the link to Account Information. • Step 3: Identify what is being requested and choose the appropriate account. • Step 4: Identify and enter budget in the month the expense will occur.

  10. Example • I am requesting $2,500 in promotional items that I will be purchasing in August to kick-off the Fall semester. Enter requested budget in empty white cell

Mandatory Meeting • Schedule a meeting with the ASI Assistant Director, Christine Thompson, between January 21, 2014- February 7, 2013. • To schedule a meeting, email Christine.m.thompson@csuci.edu with your preferred date and time. • Please bring the following items to the meeting: • Signed Budget Allocation and Spending Procedure. • Signed and completed Budget Request Form. • Completed Budget Builder (electronic copy).
