  1. 3rd Global Network Conference on ResourceEfficient and Cleaner Production(RECP)“Putting decoupling into action: moving to scale”Knowlwledge Management System2 to 6 September 2013Montreux, Switzerland

  2. GENERAL BACKGROUND OF THE KMS PROJECT • On October 19th 2011 in Nairobi Kenya the global networkfortheResourceEfficientand Cleaner Production (RECPnet) was formallyestablised. A charter was approved in which the newly established RECPnetwork determined the following main functions to be implemented • Innovation and Knowledge Management • Capacity building • Advocacy • Quality assurance and branding. • In this perspective and in line with UNIDO's holistic and sectoral Cleaner Production strategy, this project aims at increasing the positive economic, environmental and social impact of the existing and potential new UNIDO Cleaner Production Centres (NCPCs) on their industries by establishing a Global Knowledge Management platform for the RECPnet.

  3. THE KM SYSTEM HAS TO SERVE THE PURPOSE OF THE GENERAL OBJECTIVES • To enable and contribute to the effective and efficient development, application, adaptation and replication of RECP concepts, methods, policies, practices and technologies • To facilitate effective collaboration and the transfer of RECP-relevant knowledge, experiences and technologies

  4. BENEFITS FOR PARTICIPATING MEMBERS • training kits, material and documents developed by UNIDO and National CP Centers and programs, • support in know-how and experience (best practices, lessons learned, etc.), • information on experts and organizations in the region and worldwide • regional trainings and workshops on the use of the KMS System • data base of experts, regional or international, best practices and EST suppliers • support in communication and promotion of joint projects • Branding of the RECPnet,

  5. REGIONAL NETWORKS OF THE KMS FOR THE RECPNET A global KMS methodology and platform with five regional sub networks of the RECPNetwas established. The project will be implemented within a timeframe of 24 months and conclud in June 2014. The five regional networks of the global KMS have been defined during the formal launch of the RECPNet in Nairobi on October 19, 2011: • Arab Region • Latin America • Africa • Eastern Europe Caucasus and Central Asia • Asia and Pacific The final platform has been developed in a completely scalable manner, in order to allow the incorporation of new regions, countries, sectors, topics, and respond in this way to new future requirements, which may arise with the global partners.

  6. IMPLEMENTATION STEPS FOR GLOBAL KMS: WHAT HAS BEEN IMPLEMENTED SO FAR • Each region has its own regional KMS developed which are connected through one global database. • Arab network was launched in November 2012 • Migration and incorporation of the data from CPLatinNet took place according to the new network structure. February 2013 • African network was launched in Pretoria in March 2013 • EECCA network was launched in Vienna April 2013 • Asian Pacific network was launched in Hanoi April 16th 2013 • Now the implementation of the management structure of the Global KM network takes place (2013-2014) • Regional Administrator for each region, • KM resource person for each county

  7. DETAILED WORK STRUCTURE: ROLE OF THE DIFFERENT STAKEHOLDERS

  8. THE GENERAL STRUCTURE OF THE KMS PLATFORM FOLLOWS A THREE DIMENSIONAL APPROACH The Data Base and work structure of the Global KMS includes a tridimensional and matrix oriented approach as it has been defined in the final meetings in Vienna. • 5 regions (Arabnet, Latinamerica, Eastern Europe and Central Asia, Africa, Asia) • Min. 10 sectors (according to International Standard Industrial Classification of All Economic Activities “ISIC”). There can be more then 10 sectors in each subregion according to regional needs. • 25 thematic topics (with four main categories /modules: Resources, Applications, Incentives, and Innovation, each of them with subcategories, as shown in the following chart).

  9. USER PROFILES DEFINDED Central Work Function for the KMS as they use the system actively and share resources Are certifiedby RECP and MemberInstitutions May review, suggest and comment the existing resources Knowledge Contributors: Editors Contributors Knowledge Users: Users Guests/Visitor

  11. Living Documents: A Central SpaceforShared RECP Work Editor has accesstocreate Living Documents, invite participants, edit and publishthefinisheddocument Theinvitedusersmayreviewtheversions and editthe Living Document

  12. Living document: WE havethefirstliving documentelaboratedwiththekmssystem BrankoDunjic

  13. EECCA REGION HAS COMPLETED THE FIRST LIVING DOCUMENT OF THE RECPNET NETWORK-1 EECCA net has finished their Living document entitled: SURVEY ON LOW CARBON CLIMATE RESILIENT PRODUCTION SUSTAINABLE TOURISM AND SOUND CHEMICALS MANAGEMENT IN ECA REGION. This was achieved with the collaboration of over 20 EECCAnet users

  14. EECCA REGION HAS COMPLETED THE FIRST LIVING DOCUMENT OF THE RECPNET NETWORK-2 The construction of this document took a lot of commitment and organization. Making schedules to work on the document and direct communication between contributors are just some of the positive outcomes of the experience. It took the EECCA net users 14 versions to finish the document. 4 people in collaboration with others, edited versions.

  15. EECCA REGION HAS COMPLETED THE FIRST LIVING DOCUMENT OF THE RECPNET NETWORK-3 The living document was done using the tools provided in the platform. This allowed fort he document to have structure and form, even when utlizing charts and graphics.

  16. EECCA REGION HAS COMPLETED THE FIRST LIVING DOCUMENT OF THE RECPNET NETWORK-4 The final verison of the document is available as a downloadable PDF for members of the net.

  17. As editiing of living document was part of testing phase of KMS here are some remarks and suggestions for improvement: Main remark-need for better formatting in the editor. An “alert” to personal e-mail should be created in order to notify participants about the changes in the document Link to personal e-mails should be made, as lot of mails from administrator to mails within KMS stayed unread (probably beacuse users are still not using KMS on a daily basis) In the text editor, “Import” function could be added, if possible. Present text editor doesn’t allow this function. Most of people use “MS Word” as text editor, therefore, it should be good to allow better exchange between text editor in KMS and Word (Excel). Pictures must be inserted separately, cannot be inserted with the Word text, but once one is familiar with that, it works nicely EECCA REGION HAS COMPLETED THE FIRST LIVING DOCUMENT OF THE RECPNET NETWORK-5

  18. EECCA REGION HAS COMPLETED THE FIRST LIVING DOCUMENT OF THE RECPNET NETWORK-6 • CONCLUSIONS • Living document feature allows efficient collaboration on common document (i.e. Project proposal!) • It requires basic planning from the one who is in charge of coordination • After this first living document it is much clearer how to use most of it. • Opinion of users: improve formatting and create customized alerts (not only for living document feature, but for all activity on KMS). • Special thanks to Vojislavka Satric and Mariana Assenova

  19. GLOBAL KMS: STAGE OF THE PROCESS How and under which structure will the global KMS for RECPnet work? Regional Meetings in Tunisia, June 2011 Nairobi, Oct 2011 2 Development of prototpye Global Meetings in Vienna, November 2012 Launch of Arabnetwork What does the network require in order to meet its objectives? 3 Awareness, training 1 Need analysis How do you reach out to all stakeholders? 4 Impact measurement and permanentadjustments Regional Meetings in Pretoria, Vienna and Hanoi March / April 2013. Peru June 2013 Going online: Annual Meeting Montreux Sept. 2013 What are theresults of theongoingactivities and implementedsolutions?

  20. Members of the net: Currentlythere are 54 memberInstitutionsregisteredonthekmsplatform in 48 countries

  21. Activity in theplatform: First USERS havebeengrantedaccess The first step for every region was to register first test users that are the ones sharing most of the knowledge. At the moment, the platform shows the following data regarding the users This gives a total of 204 active users who work on the platform on a daily basis.

  22. Activity in theplatform: Firstdocumentshavebeenuploadedbythemembers of therecpnetwork At this moment, there are 472 documents already available in the platform.

  23. PROJECT ROLL-OUT The following timeline has been defined by UNIDO with the order in which every part of the program has to be implemented. Evidently, the given deadlines will depend on regional and local priorities, but will maintain the same periods and sequences.
