Module 3: Search TIM and Trove for party records Module 3 description This module gives search tips for finding and matching personal names (RIF-CS element <party type=”person”>) and corporate names (RIF-CS element <party type=”group”>) in TIM and Trove. Pre-requisites Module 1-A: Process for contributing party records to Trove and how to obtain an ISIL code and Module 1-B: Register with Trove and access TIM

Search tips for personal names (RIF-CS element party type=”person”) How to search for multiple given names In TIM click on the name entry of the unmatched record to generate a search result (a “find similar” search). This search is looking for an identity record which contains all of these names. A “find similar” search often generates a zero result because contributors create name entries differently.

Examples A find similar search for ‘Lindsay, Norman Alfred Williams’ could be narrowed to ‘Lindsay, Norman’ to maximise the search result. ‘Melba, Nellie, Dame’ could be narrowed to ‘Melba, Nellie’. How to search for multiple given names, contd. Use the search box and narrow the search to surname and one given name or surname and initial. Some personal names may include more than one given name. This is because the system is looking for an identity record which contains all of these names and contributors create name entries differently.

Examples For ‘Helpmann, Robert’ try searching for ‘ Helpman, Robert’. For ‘Cook, Ann’ try searching for ‘Cook, Anne’. How to search for spelling variations Some names can be spelt differently or initials used. Try searching for different spellings and initials.

Search tips for corporate names (RIF-CS element party type=”group”) Examples ‘Human Nature Musical Group’ could have a variant name of ‘Human Nature’. ‘Inglewood District Historical Society’ could have variant names of ‘Inglewood District Historical Society Inc.’ and ‘Inglewood & District Historical Society Inc.’ How to search for variant names Corporate name entries can be constructed and displayed in various ways. Try searching for abbreviations, different spellings, acronyms and by placing the name parts in a different order.

Marine Laboratories. Division of Fisheries Research. How to search for former and later names Variant names could be a former and/or later name (ie a name change). These names are corporate bodies in their own right and should have a separate identity record in Trove.

How to search for Government names Example ‘Queensland Department of Employment, Economic Development and Innovation’ (later name) and ‘Queensland Department of Primary Industries and Fisheries’ (former name). In Trove, each of these names would be a separate identity record with its own NLA party ID. How to search for variant names The form of names used for Government Departments and bodies can vary considerably so remember to search for name variations. Some names may include abbreviations such as ‘gov’ or ‘govt’ or ‘dept’.

Example Department of the Prime Minister Or Dept. of the Prime Minister How to search for variant names, contd. Others names may be spelled out in full such as ‘government’ or ‘department’. Ordering of name parts may vary considerably. Remember that former and later names should have an identity in its own right.

  11. Module 3: Search TIM and Trove for party records 3. Other tips for searching for corporate and Government names Example Try searching for ‘Wiggles’ rather than ‘The Wiggles’. Use of ‘the’ Some corporate name entries start with an article such as ‘the’. However, where the contributor of a record has not described the name entry with ‘the’, a zero search result will be returned. Try searching for the corporate name again but without the word ‘the’ at the start.

Example For ‘Royal Melbourne Institute of Technology (RMIT)’ try searching for ‘Royal Melbourne Institute of Technology’ or ‘Royal Melbourne Institute’ or ‘RMIT’. Acronyms If a corporate name includes an acronym and a search by double clicking returns a zero result, try a search of the name, or part of the name, without the acronym. Also try searching for just the acronym.

  13. Module 3: Search TIM and Trove for party records 4. General search tips Record ID Record ID (the ID used by the contributor of the record for that record) can be used to search for an identity. This can be a useful search if a contributor’s data has been re-harvested and has not resulted in an automatic match. This can happen if a contributor has made a change to the name for that record ID in their system. Example RIF-CS key for the party record
