  1. KEHP Health Departments Training eHealth Data Entry for Biometric Screenings

  2. Logging in at EHS Admin Site Go to https://admin.ehealthscreenings.com/admin/KEHP.aspx Login with the Username and Password provided for each Health Dept. Be sure to save this link to your favorites. It will also be added to the livingwell.ky.gov site.

  3. Logging in at EHS Admin Site Initial Screen after Logging In with Username & Password.

  4. Searching for KEHP Members After selecting Member Lookup on right side of the screen, the easiest way to search for a participant is to use last 4 of SSN. But there are other search options.

  5. Searching for KEHP Members Enter last 4 of SSN in “Last 4 SSN” field and select Search. You can also search by entering 2-3 letters of the first & last name.

  6. Creating Consumer Account Use scroll bar to find correct participant. Select the record. Eligibility file data will populate on left side of screen. Then select Create Consumer.

  7. Creating Consumer Account Participant’s record is now populated on right side of screen. Simply hit the Orange bar to add participant for data entry.

  8. Data Entry of Results Participant’s account is now on left side of screen and ready to work with for data entry.

  9. Data Entry of Results As you move cursor over account, it will turn green. Click record anywhere in green area except for the underlined First Name area.

  10. Data Entry of Results If you happen to click on the underlined First Name, the system will allow you to edit the participant’s eligibility file record. Simply hit the “x” to exit out of this screen.

  11. Data Entry of Results The Member Results section is now ready to select the Edit option and add results.

  12. Data Entry of Results The Member Results section is now open and ready for data entry of participant’s results.

  13. Data Entry of Results The REQUIRED data fields include: Total Cholesterol, Systolic & Diastolic BP, Glucose, Height, Weight & Waist. Provided all required data has been entered, check the box next to “Finalized:” then select the Save button.

  14. Data Entry of Results The participant’s account is now on the left side of the screen along with any other completed accounts for other participants already entered.

  15. Data Entry of Results To pull a report of finalized records for the username currently logged in, simply hit the Export to Excel button on the left side of the screen.

  16. Data Entry of Results The report downloaded will also include the members’ BP results along with DOB, last 4 of SSN, Date of Service and Finalized Date.

  17. Data Entry Rules You may not get a recorded value for some tests. Results can show as a > greater than or < less than. Below are the values to use if a greater than or less than test result is documented.

Appendix – Annual Limit Two screening limit per year per member*: One in first half of year (1/1-6/30) AND One in second half of year (7/1-12/31) *The time between screenings does not matter as long as only 1 screening has been performed during the determined time frames above. For example, a member could have a screening in May and a second screening in September. However, a member could not have a screening in January and another in June. (If a member has all in-range results there is really no need for them to get a second screening in the year.)

  20. Appendix – Eligibility Timeline It will take approximately 3 weeks from a member’s coverage start date to when you should be able to find the member in EHS. Please keep a “pending” folder of the forms for members you can’t find at that time to enter again in a few weeks. If you’re certain it’s been over a few weeks since the member has been KEHP eligible, contact the support inbox: KEHP_HD_Support@humana.com.

Appendix – Data Entry Time Limit In order to secure payment for a member’s screening, the health department is responsible for successfully entering a member’s screening results into EHS by the end of the month following the screening date. For example, a screening performed in January must be entered into EHS by the last day of February. If experiencing difficulty locating the member’s eligibility in the eHealth Screening (EHS) portal (after performing all self-service functions) reach out to the KEHP_HD_Support@humana.com inbox (and copy your Go365 Regional Engagement Consultant) for assistance.

  23. Appendix – Billing EHS sends the monthly billing file to Go365/Humana around the 10th of the following month for all screenings entered the month prior. For example, everything entered January 1- 31 will be sent for billing around February 10. Go365/Humana will process this file. During this time kickouts will be researched, if something was entered outside the determined timeline or a member is screened prior or after their effective date. Around the 20th of the month you will receive a direct deposit for the screening entered the month prior. You will also receive a secure email containing the billing details.
