We recommend using the same folder that was used for School Census Spring, as this will have more than enough security already in place.

Slide10 l.jpg

10

Slide11 l.jpg

In line with all SIMS Census applications, you can now enter a security message to be printed on all Detail Reports

11

Slide12 l.jpg

Here we have identified a member of staff to return the report to when colleagues have finished with it.

12

Slide13 l.jpg

Click off the Security Message box to ensure that the new text is saved

13

Slide14 l.jpg

14

Slide15 l.jpg

Click New to start the process for creating a Return

15

Slide16 l.jpg

The Reference Date has defaulted to the School Census Spring 2010 Reference Date and should only be changed in the unlikely event that the School Census Spring 2010 Reference Date was changed.

16

Slide17 l.jpg

The description is used for identification within the application only and does not form part of the Return file.

17

Slide18 l.jpg

Click to move to the School Information panel

18

Slide19 l.jpg

This first part of the school is greyed as it cannot be adjusted from this panel. However the user can click School Detail to make any changes that are necessary,

19

Slide20 l.jpg

Hovering your pointer over a field will give you a description of the content of the field and an indication as to whether it is mandatory or optional. Contact Title is mandatory …

20

Slide21 l.jpg

… Contact Email is optional

21

Slide22 l.jpg

Click for the list of dioceses to choose from

22

Slide23 l.jpg

23

Now fill in the remaining items in the panel

25

Slide26 l.jpg

26

Slide27 l.jpg

Click Calculate All Details to provide default positions based on current information for each of the panels that have a Recalculate button

27

Slide28 l.jpg

28

Slide29 l.jpg

Recalculate is the same as Calculate All except that it is confined to a single panel

29

Slide30 l.jpg

This screen illustrates the colour indicators we have introduced for this Census.

Bright yellow where information has been collected from SIMS

Pale yellow where information has been entered directly in the panel

White where information has not been collected from SIMS or entered directly in the panel

30

Slide31 l.jpg

Click to move to the Leadership Group panel

Click to move to the Leadership Group panel

31

Slide32 l.jpg

This defaults to Not Applicable, but the user can click to change this.

32

Slide33 l.jpg

33

Slide34 l.jpg

The leadership gender and ethnicity has been obtained from Personnel 7. Names are shown in the panel to aid clarity, but the names are not written to the return file.

New and Delete buttons have been provided, but it is envisaged that they will not be used where Personnel 7 is in use.

34

Slide35 l.jpg

Vacancy information is not held by SIMS, so click the New button to add a vacancy row.

35

Slide36 l.jpg

Click to add the Role.

36

Slide37 l.jpg

Choose the role for the vacancy

37

Slide38 l.jpg

Choose the number of terms for the vacancy.

38

Slide39 l.jpg

Click to move to the Staff Ethnicity panel

Click to move to the Teaching Staff Ethnicity panel

39

Slide40 l.jpg

This staff ethnicity information is calculated from Personnel 7 and it is always better to deal with errors via changing the Personnel 7 information.

However it is also possible to adjust the number of staff overall and the number of staff for a particular ethnicity

40

Slide41 l.jpg

The Total Teaching Staff has been edited so to increase it from 62 to 63

41

Slide42 l.jpg

The ethnicity for this additional teacher should be entered

42

Slide43 l.jpg

Click to move to the RE Teaching panel

43

Slide44 l.jpg

This RE teaching information has not been calculated, but it should be entered directly into the panel

44

Slide45 l.jpg

45

Slide46 l.jpg

Click to move to the Pupil Ethnicity panel

46

Slide47 l.jpg

The pupil ethnicity information has been collected from Core and we expect it to be very accurate.

However, pupils with a Registration Status of Subsidiary Dual Registration are excluded from this School level Return, to avoid double counting, but they are included in the School Census which includes pupil level information.

47

Slide48 l.jpg

Click to move to the Destination of last year’s Year 11 pupils panel

48

Slide49 l.jpg

We have calculated some of this information from Core, but it should be checked carefully in case the information is missing for some pupils.

49

Slide50 l.jpg

50

Slide51 l.jpg

Click to move to the Pupil Withdrawals panel

51

Slide52 l.jpg

Withdrawal information cannot be calculated and should therefore by added manually

52

Slide53 l.jpg

53

Slide54 l.jpg

Click to move to the Pupils FSM/EMA panel

54

Slide55 l.jpg

We would expect the collection of FSM (Free School Meal Eligibility) to be very successful, but the collection of EMA can only be accurate where the SIMS EMA module is in use

55

Slide56 l.jpg

Click to move to the School Uniform panel

56

Slide57 l.jpg

Click the radio button that best describes the school uniform position

57

Slide58 l.jpg

58

Slide59 l.jpg

Click to move to the Headcount of Staff Religion panel

59

Slide60 l.jpg

The number of teaching staff that are not Catholic is given by subtracting the number of Catholic Teaching Staff in this panel from the Total Teaching Staff in the Teaching Staff Ethnicity panel.

60

Slide61 l.jpg

The Headcount for Education Support Staff can only be calculated where contract information is maintained in Personnel 7, as the CESEW is only interested in specific roles and the role information is stored as part of a contract

61

Slide62 l.jpg

62

Slide63 l.jpg

Click Save to store the information entered in the panels

63

Slide64 l.jpg

64

Slide65 l.jpg

Once the information has been saved you can click Create to create a Return file with an extension of UNA (unauthorised)

65

Slide66 l.jpg

66

Slide67 l.jpg

67

Slide68 l.jpg

Once the Return file has been created it can be printed out for checking

68

Slide69 l.jpg

The report is written to the browser, from where it can be printed or copied to other office applications

69

Slide70 l.jpg

The report includes some rudimentary validation

70

Slide71 l.jpg

71

Slide72 l.jpg

72

Slide73 l.jpg

73

Slide74 l.jpg

74

Slide75 l.jpg

If the school isn’t happy with the content of the Return they can make changes in SIMS, in the CESEW Census Tools or in the CESEW Census panels

Create must be clicked again to feed these changes through to the Return file

75

Slide76 l.jpg

When the school is happy with the Return it can be Authorised ready for sending to the CESEW

76

Slide77 l.jpg

77

Slide78 l.jpg

78

Slide79 l.jpg

An authorised Return file is given an extension of XML and cannot be modified, but if an issue is found after authorisation the information in the panels can be copied for creation of a replacement Return file

A CSV (Comma Separated Variable) Return file will also be created using the data in the XML Return file and at this point the CESEW will use the CSV file to read into their central spreadsheet

79

Slide80 l.jpg

Click to close

80

Slide81 l.jpg

Explorer shows all the files that have been created, including the CSV file ready for upload to the CESEW
