We recommend using the same folder that was used for School Census Spring, as this will have more than enough security already in place.

In line with all SIMS Census applications, you can now enter a security message to be printed on all Detail Reports

Here we have identified a member of staff to return the report to when colleagues have finished with it.

Click off the Security Message box to ensure that the new text is saved

Click New to start the process for creating a Return

The Reference Date has defaulted to the School Census Spring 2010 Reference Date and should only be changed in the unlikely event that the School Census Spring 2010 Reference Date was changed.

The description is used for identification within the application only and does not form part of the Return file.

This first part of the school is greyed as it cannot be adjusted from this panel. However the user can click School Detail to make any changes that are necessary,

Hovering your pointer over a field will give you a description of the content of the field and an indication as to whether it is mandatory or optional. Contact Title is mandatory …

Bright yellow where information has been collected from SIMS

Pale yellow where information has been entered directly in the panel

White where information has not been collected from SIMS or entered directly in the panel

The leadership gender and ethnicity has been obtained from Personnel 7. Names are shown in the panel to aid clarity, but the names are not written to the return file.

New and Delete buttons have been provided, but it is envisaged that they will not be used where Personnel 7 is in use.

Vacancy information is not held by SIMS, so click the New button to add a vacancy row.

This staff ethnicity information is calculated from Personnel 7 and it is always better to deal with errors via changing the Personnel 7 information.

However it is also possible to adjust the number of staff overall and the number of staff for a particular ethnicity

The pupil ethnicity information has been collected from Core and we expect it to be very accurate.

However, pupils with a Registration Status of Subsidiary Dual Registration are excluded from this School level Return, to avoid double counting, but they are included in the School Census which includes pupil level information.

We have calculated some of this information from Core, but it should be checked carefully in case the information is missing for some pupils.

We would expect the collection of FSM (Free School Meal Eligibility) to be very successful, but the collection of EMA can only be accurate where the SIMS EMA module is in use

The number of teaching staff that are not Catholic is given by subtracting the number of Catholic Teaching Staff in this panel from the Total Teaching Staff in the Teaching Staff Ethnicity panel.

The Headcount for Education Support Staff can only be calculated where contract information is maintained in Personnel 7, as the CESEW is only interested in specific roles and the role information is stored as part of a contract

Once the information has been saved you can click Create to create a Return file with an extension of UNA (unauthorised)

Once the Return file has been created it can be printed out for checking

The report is written to the browser, from where it can be printed or copied to other office applications

The report includes some rudimentary validation

If the school isn’t happy with the content of the Return they can make changes in SIMS, in the CESEW Census Tools or in the CESEW Census panels

Create must be clicked again to feed these changes through to the Return file

When the school is happy with the Return it can be Authorised ready for sending to the CESEW

An authorised Return file is given an extension of XML and cannot be modified, but if an issue is found after authorisation the information in the panels can be copied for creation of a replacement Return file

A CSV (Comma Separated Variable) Return file will also be created using the data in the XML Return file and at this point the CESEW will use the CSV file to read into their central spreadsheet
